Tips for Using Your Job Costing Template
Start with Real Numbers
Don’t guess—pull actual hourly rates, supply costs, and overhead from your books. The more accurate your inputs, the more accurate your pricing.
Break It Down by Task
Use separate line items for different cleaning tasks (e.g., floors, restrooms, windows). This helps you understand where your time and money are really going.
Include All Labor Costs
Factor in not just wages but taxes, insurance, and any benefits—this gives you the true cost of labor, not just hourly pay.
Don’t Forget Supplies & Equipment
Even if you buy in bulk, estimate the per-job cost of supplies (like disinfectant, garbage bags, etc.). If you use equipment, account for maintenance or wear and tear.
Use the Overhead Section
Add in a percentage or flat fee for overhead—like admin time, vehicle fuel, software, or rent. Every job should cover a piece of these costs.
Set a Target Profit Margin
Add a markup or margin to make sure you’re not just covering costs—you’re actually making a profit. Typical target: 20–30%.
Duplicate the Sheet for Each New Job
Make a copy of the sheet per client or job. That way, you can compare, tweak, and reuse your best estimates over time.

Show your team how pricing works. When employees understand the business side, they often become more mindful of time and materials.
