Payroll errors are small, frequent, and corrosive
A few minutes miscounted here, an overtime rate applied wrong there — payroll mistakes are rarely huge, but they’re frequent, and every one erodes trust with the crew or leaks money you can’t afford. Doing it by hand in a spreadsheet at 11pm on payday is how those errors happen.
This page gives you both halves: a free calculator that turns clock-ins into accurate pay — regular hours, overtime, and breaks totalled for you — and a short guide to the time and payroll rules that keep it clean and disputes rare.
Built for commercial cleaning. Your timecards stay in your browser — nothing is uploaded.
The guide to accurate time and pay
Clean payroll is mostly consistency: the same rules applied the same way, every period. Here’s what matters.
The rules that decide the number
- Overtime — know your threshold (commonly over 40 hours a week) and the multiplier, and apply it consistently. Guessing overtime is how you overpay or underpay.
- Breaks — paid vs. unpaid, and how they’re deducted, decided the same way for everyone.
- Rounding — pick a rule (to the nearest quarter-hour, say) and stick to it; inconsistent rounding is where "you shorted me" starts.
The calculator applies these so the total is right and repeatable, not a fresh judgment call every week.
Habits that prevent disputes
- Total from real clock-ins, not memory. "About eight hours" is how disputes are born.
- Keep the math visible. When a cleaner can see regular, overtime, and breaks broken out, the number defends itself.
- Be consistent across the crew. The same rules for everyone is what makes payroll feel fair.
- Keep a record. A saved, exportable timecard settles a question in seconds.

Spreadsheet math vs. calculated pay
Same hours, same crew — one is a weekly guess, the other is right by construction. Here’s roughly what the errors cost.

Small, consistent payroll errors add up — on a payroll this size, calculating it right instead of guessing is worth roughly a year in avoided over-payments and the disputes they cause.
Accurate pay starts with accurate time
A calculator is only as good as the hours you feed it. Swept captures those hours at the source — location-verified clock-ins your crew can’t fudge and you don’t have to chase — so payroll starts from real time, not a text at the end of the week.
