Training management comes down to one grid and one habit: know what each person needs, and keep the record current. Here’s the system.
Build a training matrix
List your people down one side and the skills and certifications they need across the top. The gaps jump out:
- Onboarding basics — safety, equipment, and your standard operating procedures, for every new hire before they’re solo on a site.
- Site-specific requirements — medical, food-service, or industrial sites often demand specific certifications; a cleaner without them shouldn’t be scheduled there.
- Expiring certifications — anything with a renewal date, tracked so it never lapses unnoticed.
Keep the record current
- Log training the day it happens. A record you update later is a record you don’t update.
- Check expirations monthly. Renew before the lapse, not after the client asks.
